AI Receptionist for Dental Practices

Every missed call is a new patient enquiry worth far more than a single appointment.

A dental practice loses calls in predictable places: lunch, the hour after closing, and any time the front desk is already on the phone with someone standing at the counter. Those callers are often new patients, and a new patient is worth considerably more than the single appointment they were ringing to book.

Where it helps most

The AI answers when the desk cannot, which in practice means evenings, weekends and the overflow while your receptionist is mid-conversation. It handles the calls that are mostly process — opening hours, whether you are taking new patients, roughly what a check-up costs, booking or moving an appointment — and books straight into your calendar.

Everything is recorded and transcribed, so the morning’s messages arrive as a list of names, numbers and reasons rather than a voicemail box someone has to work through.

A note on clinical questions

It does not give clinical advice and it should not be asked to. Anything that sounds like pain, trauma or a medical question becomes a message for a human, with the caller told plainly that someone from the practice will ring back.

Questions dental practices ask

Is this suitable for patient calls?

It is suitable for answering, taking details and booking. It is not a clinical service and it does not give dental advice. Brief it to take the details and escalate anything that sounds like genuine pain or trauma straight to you.

What about patient privacy?

It records and transcribes calls, so treat those recordings the way you treat any other patient record under your practice policy. We do not sign a business associate agreement, so do not brief it with anything from a patient chart.

Can it fill a cancellation at short notice?

It can book a caller into a slot that has opened up in your calendar, which is the common case. It does not ring down a waiting list for you, because it does not make outbound calls.

Will it handle a patient in pain at the weekend?

It answers, takes the details and follows your out-of-hours instruction - whether that is an emergency number, a locum, or a message that you will ring first thing. What it will not do is let the phone go unanswered.

Can it answer questions about treatment costs?

Only the figures you brief it with. Most practices give it the consultation fee and nothing else, because quoting treatment without an examination creates an expectation you then have to manage.
