Privacy Policy

Last updated: August 9, 2026

This Privacy Policy explains what information 247 Reception ("we", "us") collects when you use our Service, how we use it, and the choices you have.

1. Information We Collect

  • Account information: name, email address, and login method when you sign up.
  • Business configuration: your assistant's greeting, instructions, phone number, and calendar connection.
  • Call data: call recordings, transcripts, call duration, caller phone numbers, and AI-generated summaries of calls handled by your assistant.
  • Billing information: plan, payment status, and transaction history. Card and PayPal account details are handled directly by PayPal — we do not store your payment card details.
  • Usage data: minutes used, credit balance, and basic product analytics.

2. How We Use Information

  • To operate the Service — answering calls, booking appointments, and generating call summaries.
  • To bill you for your plan or minute purchases and send related receipts.
  • To provide customer support and respond to support tickets.
  • To detect fraud and abuse, and to secure the Service.
  • To send service-related emails (setup confirmations, billing notices, renewal reminders).

3. Third Parties We Share Data With

Operating the Service requires sharing call audio, transcripts, and related data with the infrastructure providers that power it, including Vapi (voice orchestration), Twilio (telephony), Google (Calendar integration, if you connect it), and AI model providers (for generating responses and call summaries). PayPal processes payments directly. We do not sell your personal information to third parties.

3a. Cookies, Analytics and Advertising

Our website uses Google Analytics and Microsoft Clarity to understand how pages are used, and may use advertising pixels from Meta, LinkedIn, Google and X so that we can show ads to people who have already visited us. These set cookies in your browser and tell those companies that a browser visited our site. They are used for measurement and advertising only — never to identify individual callers, and we do not upload call data, transcripts or caller details to any advertising platform.

You can opt out at the source: Google Analytics offers a browser opt-out, and ad personalisation can be turned off in your Meta, LinkedIn, Google and X account settings. Most browsers also let you block third-party cookies entirely, and nothing on this site stops working if you do. Note that these are website cookies only; the dashboard and the phone service do not depend on them.

3b. Google Account Data and Limited Use

If you connect a Google account so the assistant can book appointments, we request only two permissions, and only the ones the feature actually needs:

  • calendar.events — to read your free/busy times so the assistant can offer a slot that is genuinely available, and to create the appointment it books while the caller is still on the line. It is not used to read the contents of unrelated calendar entries, and it does not touch calendars you have not connected.
  • userinfo.email — to identify which Google account is connected, so the right calendar is written to and so you can see and revoke it.

247 Reception’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Concretely, that means Google calendar data is used only to provide the appointment-booking feature you switched on. It is never sold, never used for advertising or to build an advertising profile, never used to train generalised AI or machine-learning models, and never read by a human except where you have asked us to help with a support issue, where the law requires it, or where it is necessary to investigate abuse or a security incident.

You can disconnect the calendar at any time from your dashboard, or revoke our access from your Google account permissions page. Disconnecting stops all further access immediately, and the stored Google access and refresh tokens are deleted. Appointments already written to your calendar remain yours and stay where they are — they belong to your calendar, not to us.

4. Call Recording

Calls handled by your assistant may be recorded and transcribed by default, with a spoken disclosure to callers at the start of the call. Recordings and transcripts are stored so you can review call history, leads, and AI-generated summaries in your dashboard.

5. Data Retention

We retain account and call data for as long as your account is active, and for a reasonable period afterward for legal, billing, and dispute-resolution purposes, unless you request earlier deletion as described below.

6. Your Rights and Choices

You can request a copy of your account and call data, or request deletion of your account and associated data, from the Settings page in your dashboard, or by contacting us. Depending on your location, you may have additional rights under laws such as the GDPR or CCPA, including the right to access, correct, or delete your personal information.

7. Security

We use industry-standard measures to protect your data, including encrypted connections and access controls on internal systems. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the date above.
